1. Booking and payment
The agreement between the client and Envaya Travel is established upon confirmation of the Trip Design Fee payment. We offer a free initial consultation, during which we provide personalized advice and a preliminary travel outline based on your preferences. To proceed beyond this stage, a Trip Design Fee must be paid within 24 hours of receiving your custom proposal. This fee covers the time and expertise required to create a detailed itinerary, suggest accommodations and activities, and secure up-to-date pricing per person. Once the fee is received, you’ll be granted full access to our travel app, including hand-picked hotels, curated experiences, and support with booking your flights.The Trip Design Fee starts at €199 and may vary depending on the complexity of your journey. It is non-refundable, even if you choose not to finalize the trip through Envaya Travel.
If the design fee payment is not received by the due date, Envaya Travel reserves the right to cancel the journey unless the traveler provides proof of payment.
If you request our assistance with flight booking, you will be provided with the most up-to-date ticket options and prices available at that time. To secure the booking, you must transfer the ticket cost to us as soon as possible, as prices are subject to change and not controlled by Envaya Travel.If the price increases before payment is received, and you still wish to proceed, you must first pay the new ticket price before we can complete the booking on your behalf.
There is no deposit required to proceed with the final trip, as clients complete bookings and payments directly through the platforms we recommend. If any third-party providers require early payment, you will be notified in advance.
All payments are securely processed through Stripe, via a secure payment link or bank transfer. Our system meets the highest industry standards, and Envaya Travel does not store any payment details.
2. The agreement between the traveller and Envaya TravelThe agreement between the traveler and Envaya Travel covers the travel planning and itinerary design services as outlined in the booking confirmation and travel document (itinerary or similar). It may also include any additional services explicitly agreed upon between the parties.Information provided on Envaya Travel’s website or through digital communication may be considered part of the agreement, provided it is relevant to the traveler’s purchase decision and not clearly modified before the final booking confirmation.As a global travel curator, Envaya Travel is dedicated to creating seamless and personalized journeys. Each itinerary is carefully designed to match the traveler’s preferences, with a strong focus on clarity, transparency, and trust throughout the planning process.Envaya Travel charges only for the design and planning of the trip. All bookings—such as accommodations, experiences, and other travel services—are made directly by the traveler with the respective providers. However, Envaya Travel offers full assistance throughout the entire booking process, including providing trusted recommendations and guidance for every element of the trip.In some cases, Envaya Travel may assist in booking flights on behalf of the traveler. This is the only travel-related cost that may be paid to Envaya Travel in advance, in addition to the design fee.
3. Price of the journeyAll itineraries created by Envaya Travel are customized and subject to availability at the time of planning. We charge a Trip Design Fee for crafting a personalized travel plan, which includes expert research, itinerary, and curated recommendations. This fee does not cover the cost of bookings themselves. The total cost of your journey will depend on the selected services, providers, and travel dates. All prices and availability are based on real-time rates from third-party providers such as airlines, hotels, and activity operators. You will be responsible for completing bookings and payments directly through the recommended platforms. Prices shown do not include personal expenses such as tips and gratuities, passport or visa fees, insurance, medical costs or vaccinations, meals and beverages not specified in the itinerary, or any local taxes or fees (e.g. departure, customs, airport facility charges) that may apply at your destination. Travel insurance and cancellation protection are not included in the price of the journey and must be purchased separately by the client. Envaya Travel is not a package travel provider and is therefore not governed by the Package Travel Act. We do not assume financial responsibility for third-party services, pricing changes, or availability. Any changes in provider pricing, availability, or currency exchange rates may affect the final cost, and we will always inform you of such updates during the planning process.
All quoted prices are in EUR (€) and are subject to change based on provider availability and exchange rates at the time of booking.
4. Special conditions related to the agreement
4.1. TRAVEL INSURANCE & CANCELLATION PROTECTION
We strongly recommend that all travelers obtain comprehensive travel and cancellation insurance to protect themselves against unexpected changes or disruptions before or during their trip.Insurance can be arranged through providers such as World Nomads or other trusted companies. Coverage varies by provider, so it is the client’s responsibility to carefully review the terms, especially those related to cancellations, medical emergencies, and refund eligibility.For maximum protection, travelers should purchase cancellation insurance immediately after confirming travel dates, as most providers require the policy to be active before the trip begins.Cancellation claims are typically approved only when supported by valid documentation, such as a medical certificate or other accepted reason according to the insurer’s terms.We also recommend choosing a policy that includes coverage for medical expenses, lost or delayed luggage, and emergency repatriation in case of illness or injury. Carrying proof of insurance (e.g. an insurance card or European Health Insurance Card, where applicable) is strongly advised during travel.
4.2. ENTRY REGULATIONS, PASSPORTS AND VISAS
It is the traveler's responsibility to ensure they meet the entry requirements for all destinations included in their itinerary. As visa and health regulations may change without prior notice, travelers should verify the most up-to-date requirements with the relevant embassy, consulate, or official immigration authority before departure.Many countries require that passports remain valid for at least six months beyond the date of entry. Some nationalities may also need a visa or travel authorization before arrival, depending on the destination. Travelers must ensure they obtain all necessary documents in advance and comply with any health-related entry conditions, such as vaccinations or travel restrictions.We strongly recommend that travelers check visa and entry requirements for all destinations on their itinerary well before departure to avoid disruptions.
4.3 TRANSPORT INFORMATION
If Envaya Travel assists with flight booking, we ensure that travelers are provided with accurate and up-to-date information about the airline operating each scheduled flight at the time of booking.Should any airline or schedule changes occur after booking, we will inform the traveler as soon as possible and provide updated flight details, as long as the booking was completed with our assistance.
4.4. CAR RENTAL POLICIES AND RESPONSIBILITIES
For trips that include a rental vehicle, travelers are responsible for adhering to the rental company’s terms and conditions. A valid driver’s license and credit card in the renter’s name must be presented at the time of vehicle pickup. The rental agreement is a direct contract between the traveler and the rental provider, and Envaya Travel is not a party to this agreement.We strongly advise travelers to carefully review the rental contract before signing, ensuring they fully understand insurance coverage, liability terms, deductibles, and available protection options. Envaya Travel holds no responsibility for damages, accidents, injuries, or mechanical issues involving rental vehicles. Any concerns, claims, or disputes related to the rental must be resolved directly with the rental provider.
4.5 PHYSICAL FITNESS AND RISK RESPONSIBILITY
Travelers are responsible for ensuring they are physically fit for the activities included in their itinerary. Some experiences may involve higher risks, such as injury, discomfort, or property loss. While Envaya Travel prioritizes safety, participation in certain activities comes with inherent risks. By booking with us, travelers accept full responsibility and agree not to hold Envaya Travel liable for any harm or loss. We strongly recommend taking necessary precautions and securing insurance that covers high-risk activities.
5. Traveler's right to amend, cancel or transfer the journey
General information:
All requests for changes or assistance must be submitted directly to Envaya Travel via email at
envayatravel@gmail.com. If modifications are needed during your trip, our team is available for support through the Envaya Travel chat platform and by phone.Please note that Envaya Travel does not process cancellations or refunds for services booked directly with third-party providers. All changes, cancellations, and refund requests must be handled according to the policies of the relevant provider (e.g., airline, hotel, activity operator).If you need help coordinating a cancellation or understanding a provider’s policy, we’re happy to assist where possible. However, refund eligibility is entirely subject to the provider’s terms.No refunds will be issued for no-shows, and if the number of travelers changes, any pricing or penalties will be determined by the provider you booked with.
5.1. CANCELLATION DUE TO EXTRAORDINARY CIRCUMSTANCES
In the event of unavoidable and exceptional circumstances—such as armed conflict, natural disasters, or widespread public health crises—that significantly impact the feasibility of travel to a destination included in the itinerary, travelers may choose to cancel their trip. Envaya Travel does not issue refunds, as all bookings are made directly with third-party providers. If such a situation arises, we will assist you in coordinating with providers to determine whether cancellation and refund options are available under their individual terms and conditions.Refund eligibility will depend entirely on each provider's policy and whether payment has already been processed. Please note that our design fee remains non-refundable, even in the case of cancellations due to exceptional circumstances.This cancellation right does not apply if the traveler was aware—or reasonably should have been aware—of the potential risks at the time of booking.
5.2. CANCELLATION DUE TO UNEXPECTED ILLNESS OR ACCIDENTS – Voluntary Cancellation Protection (Third-Party Provider)
If a traveler has purchased travel or cancellation insurance, they may be eligible for a refund in the event of illness, accident, or other unforeseen circumstances covered by their policy. In such cases, the traveler should notify Envaya Travel as soon as possible, so we can provide confirmation of the non-refundable design fee and support the traveler in identifying which services may be covered by their insurance, based on the itinerary we created.
While Envaya Travel does not process refunds, travelers are responsible for submitting claims directly to their insurance provider and for ensuring their policy includes appropriate coverage.If your trip was planned with a group discount, and one or more travelers cancel, the cost structure for the remaining participants may change. Any adjustments to pricing, accommodations, or activities due to a reduced group size are subject to the provider's policies, and may result in higher individual costs. When possible, Envaya Travel will assist in adjusting the itinerary to help minimize additional costs for the remaining travelers. This may include recommending alternative accommodations or revising activities to suit the updated group size. It is the responsibility of each traveler to secure comprehensive insurance that covers cancellations, medical emergencies, and changes in group travel conditions.
5.3 TRANSFER OF THE JOURNEY
If a traveler wishes to transfer their trip to another person, Envaya Travel can assist—provided the new traveler meets all necessary requirements for the planned itinerary.All services are booked directly with third-party providers, so approval of any name or participant change is entirely subject to the provider’s policy. Some services, such as scheduled flights, may not allow changes or may charge additional fees.If a transfer is permitted by the provider, Envaya Travel will charge a €50 administrative fee for assisting with the change. This fee is payable by either the original or new traveler.Requests to transfer a trip must be submitted no later than 14 days before the scheduled departure date.Once the transfer is confirmed, the new traveler will receive full access to our travel app, including the complete itinerary and relevant planning materials.After the design and planning process has been completed, Envaya Travel’s responsibility is considered fulfilled. However, if further support is needed to inform the new traveler, we will assist where feasible to ensure a smooth transition.
5.4 MODIFICATION OF BOOKING DETAILS
We offer assistance with modifying your travel plans for a service fee of €100. This includes helping you change bookings such as flights, accommodations, or activities, provided the third-party provider allows modifications. Any price differences resulting from new travel dates or services will be the client’s responsibility.
Travel dates may be postponed for up to 18 months, depending on the availability and policies of external providers. Changes made after bookings are confirmed—such as adjustments to accommodations or logistics—may incur additional administrative fees based on the complexity and time required.
We are happy to assist with add-on bookings and restaurant reservations at no extra cost, provided requests are made at least 72 hours in advance.
During your journey, we are available to discuss changes via chat on the Envaya Travel platform or by phone. Chat support is available Monday to Friday from 09:00 to 17:00 (CET/CEST). Outside working hours, we are always reachable by phone, but non-urgent assistance is subject to a service charge of €500.
6. Envaya Travel’s Right to Cancel or Modify a Trip
6.1. MINIMUM PARTICIPANTS REQUIREMENT
Some third-party activities may require a minimum number of participants to proceed. If this requirement isn’t met, the provider may cancel the activity.As bookings are made directly by the traveler, cancellation notices will typically be sent to you by the provider. If this happens, Envaya Travel can assist in finding a suitable alternative, but we do not process any refunds.Any refund for a canceled activity will be handled solely by the provider, according to their terms and conditions.If the canceled activity is part of a longer itinerary, only the specific activity affected is eligible for a refund—not the entire trip.
6.2.EVENTS BEYOND OUR CONTROL
If unavoidable and extraordinary circumstances—such as war, natural disasters, or major health risks—prevent certain services from taking place, the third-party providers involved may cancel or modify their offerings.As clients book directly, notifications of cancellations or changes will typically come directly from the provider. Envaya Travel will assist you in navigating the situation, including helping to find alternative options where possible.Any refunds related to such cancellations are handled solely by the provider, according to their terms and conditions. Envaya Travel does not issue refunds.For safety reasons, routes, schedules, or activities may be adjusted by providers due to weather, road conditions, or other unforeseen events. Travelers must comply with local laws and the policies of all service providers. Non-compliance may result in cancellation of services without refund, and in severe cases, additional portions of the trip may be impacted.
6.3 CHANGES BY THIRD-PARTY PROVIDERS
Envaya Travel is committed to providing accurate, up-to-date planning support based on your preferences. However, final bookings are made directly by the traveler with third-party providers, and any changes to services, schedules, or terms are subject to the policies of those providers.If a provider makes a significant change to a booked service (e.g., cancellation, rescheduling, or alterations in quality or availability), the traveler will typically be notified directly by the provider. Envaya Travel will assist with understanding the implications of the change and help explore alternative options, if available.Envaya Travel does not modify or control third-party bookings, and is not responsible for refunds, compensation, or price reductions related to performance issues or service changes. These matters must be resolved directly with the provider, according to their terms.We strive to ensure transparency and fairness in all planning stages, and will support you in adapting your itinerary when changes occur.
7. Parties' obligations
7.1. ENVAYA TRAVEL’S OBLIGATIONS
Envaya Travel provides personalized travel planning services and is responsible for delivering the journey design as agreed upon with the traveler, as outlined in Section 2. If changes are necessary due to unforeseen circumstances, Envaya Travel will take reasonable steps to minimize inconvenience in the planning phase. However, as clients make their own bookings directly with third-party providers (e.g., airlines, hotels), Envaya Travel cannot be held liable for service disruptions or performance issues related to those providers.Should a traveler encounter difficulties during their trip, Envaya Travel will offer prompt and appropriate guidance—such as helping contact local authorities, medical services, or suggesting alternative solutions—within the scope of the agreed design service. If the situation results from the traveler’s own actions or negligence, a reasonable service fee may apply for additional support.Envaya Travel and its partners will also inform the traveler of any relevant information that may impact the planned journey, as soon as such information becomes available.In the event of any issue with the travel design itself, Envaya Travel is committed to correcting and resolving the matter within reasonable limits and as promptly as possible.
7.2 TRAVELER'S OBLIGATIONS
Travelers are expected to familiarize themselves with these Terms & Conditions, as well as any specific terms presented on the Envaya Travel website or provided through other official channels.
a) Payment: The traveler must pay the agreed design fee, and—if applicable—the cost of any flight bookings arranged directly by Envaya Travel, in accordance with the payment schedule outlined in these Terms & Conditions. Late or missing payments may result in cancellation of services.
b) Providing Accurate Information: The traveler must provide complete and accurate personal information necessary for travel planning, including for any travel companions. Envaya Travel is not liable for consequences arising from incorrect or incomplete information. If a booking is made on behalf of others, the person booking is responsible for ensuring that all participants meet relevant travel requirements and are fit to travel.
c) Reporting Issues: If the traveler becomes aware of any errors or disruptions related to the itinerary design or suggested arrangements, they must notify Envaya Travel without undue delay. Once the journey begins, any issues should be reported locally where possible to help resolve them promptly.
d) Travel Documents:It is the traveler’s responsibility to ensure that all tickets and travel documents match the booking details, including names as shown in passports. The traveler must carry all required documentation, such as a valid passport, visas, insurance, health certificates, transportation tickets, and any necessary permits. Envaya Travel is not liable for delays, denial of entry, or other issues arising from missing or incorrect documentation. Failure to present necessary documents may result in denial of participation without refund.
e) Consideration for Travel Companions / Respecting Travel Guidelines:Travelers must follow the guidelines provided by Envaya Travel and respect the rules of hotels, service providers, transport companies, and local authorities. This includes complying with instructions about check-in times, local laws, behavior, and safety regulations. Travelers must behave respectfully and must not create inconvenience, safety concerns, or disruption for others. Envaya Travel reserves the right to withdraw services if a traveler’s behavior or condition indicates a clear inability to meet these standards.
f) Flight & Travel Arrangements: Travelers are responsible for following instructions regarding flight confirmations and other travel arrangements. They are also expected to monitor messages sent via Envaya Travel’s itinerary app, email, or SMS. Failure to follow important updates may result in missed services or reserved seats being lost.
g) Consequences of Non-Compliance:Failure to meet these obligations may result in the traveler being excluded from further services. In such cases, Envaya Travel is not responsible for additional expenses or compensation for unused parts of the itinerary. If non-compliance causes financial loss or added costs to Envaya Travel, the traveler may be held liable for damages under applicable law.
8. Non-Performance or Defective Performance
8.1. BEFORE DEPARTURE
Envaya Travel provides personalized travel planning and itinerary design services. Because all bookings are made directly by the traveler with third-party providers, Envaya Travel cannot be held responsible for service disruptions, changes, or cancellations made by those providers.If, before departure, the traveler becomes aware of a significant issue with the designed itinerary or if changes proposed by Envaya Travel create a clear disadvantage (e.g. substantial changes to the structure or timing of the planned trip), the traveler may choose to discontinue the planning process.In such cases, the traveler should notify Envaya Travel in writing as soon as possible. Please note that the Trip Design Fee is non-refundable, as it covers completed research, consultation, and itinerary design work already provided.Price fluctuations of third-party services (such as flights, accommodations, or activities) do not entitle the traveler to cancel or claim compensation from Envaya Travel, as we do not control provider pricing or guarantee their availability. However, if the traveler chooses not to proceed with certain services due to increased costs, they may request alternative options within the planning phase, and we will assist in adjusting the itinerary where possible.Envaya Travel is not a package tour operator, does not fall under the Norwegian Package Travel Act, and is not a member of the Travel Guarantee Fund (RGF). Therefore, travelers are not entitled to compensation under those frameworks.
8.2. AFTER DEPARTURE
Envaya Travel offers travel planning and itinerary design services, but does not operate, sell, or manage the third-party services (e.g., flights, accommodations, activities) included in the trip. As such, Envaya Travel cannot be held liable for non-performance or defective performance related to those services once the journey has begun.If the traveler experiences a significant issue with any part of their trip, they are encouraged to contact Envaya Travel promptly through the designated chat platform, phone support, or email. While Envaya Travel will make reasonable efforts to assist and offer alternative suggestions within the scope of the original itinerary design, we cannot guarantee resolution or compensation, as all bookings are made directly with external providers.
a) Guidance and Support: If part of the journey does not go as planned, the traveler may request guidance or support from Envaya Travel. We will assist with exploring potential alternatives, rebooking options, or recommending local contacts, where feasible. However, responsibility for resolving issues, obtaining refunds, or arranging replacements lies with the traveler and the relevant third-party provider.
b) Alternative Arrangements: If a third-party service cannot be delivered as planned (e.g., an overbooked hotel or canceled activity), Envaya Travel may help suggest comparable alternatives if contacted. Any additional costs or decisions related to alternative services are the traveler’s responsibility. Envaya Travel cannot guarantee the quality, availability, or cost of these replacements.
c) No Price Reduction or Refunds from Envaya Travel: As the Trip Design Fee covers the planning and design phase only, and all bookings are made directly by the traveler, no portion of this fee is refundable due to changes, disruptions, or dissatisfaction during the trip. Refunds or price adjustments must be pursued with the relevant third-party provider, based on their terms and conditions.
d) Responsibility for Claims and Compensation: If the traveler incurs losses due to third-party service failures, any claims for compensation must be directed to the relevant provider. Envaya Travel is not liable for delays, cancellations, accidents, or other disruptions caused by airlines, hotels, transport operators, or other service providers. Travelers are advised to maintain appropriate travel insurance to cover such situations.
e) Limitations of Liability: Envaya Travel does not operate under the Norwegian Package Travel Act and is not a member of the Travel Guarantee Fund (RGF). As such, travelers are not entitled to rights or compensation under those regulations. Any assistance provided by Envaya Travel in the event of travel disruptions is offered in good faith and does not imply legal responsibility for the services provided by third parties.
8.3 LIMITATION OF LIABILITY – DISCLAIMERS & COMPENSATION RESTRICTIONS
Envaya Travel shall not be held responsible for any loss, damage, accidents, injuries, or illnesses that may occur during a journey. This also applies to itinerary changes caused by weather conditions, strikes, or other force majeure events beyond our control. Envaya Travel and its partners assume no liability for disruptions due to illness, theft, labor disputes, equipment failures, government restrictions, acts of war or terrorism, adverse weather conditions, transportation malfunctions, or any other unforeseen circumstances.Envaya Travel accepts no liability for indirect, incidental, or consequential damages, including but not limited to loss of income, profit, business opportunity, data, reputation, or claims by third parties. These limitations apply regardless of whether such losses were foreseeable or whether they arise from contract, tort, negligence, or any other legal grounds.Because all bookings are made directly by the traveler with external service providers, Envaya Travel is not responsible for the actions, omissions, or performance failures of those providers. Travelers are solely responsible for reviewing and accepting the terms and conditions of each provider before confirming bookings. Envaya Travel cannot be held liable for any issues, damages, delays, or expenses resulting from interactions with external providers, including non-professional or local partners.All information presented by Envaya Travel—whether on the website, via the travel app, or in direct communication—is provided “as is” and “as available.” We do not guarantee the accuracy, completeness, or continued availability of any content, pricing, dates, or service details. Envaya Travel makes no warranties, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, non-infringement, or the uninterrupted or error-free operation of its platforms. Although we strive to ensure accuracy and reliability, we cannot guarantee that the website or communication systems will always be free from bugs, viruses, or technical faults.If any provision of these Terms & Conditions is found to be invalid, illegal, or unenforceable under applicable law, the remaining provisions will continue in full force and effect.To the maximum extent permitted by law, Envaya Travel’s total liability—if any—shall be limited to the total amount paid by the traveler for the Trip Design Fee and, where applicable, the cost of flight tickets booked directly through Envaya Travel. This limitation does not apply in cases of gross negligence or willful misconduct.
8.4 TRANSPORT- RELATED CLAIMS AND REASONABLE EXPECTATIONS
Envaya Travel does not operate or manage transportation services and cannot be held responsible for delays, cancellations, or disruptions caused by airlines, rail companies, or other carriers. If a traveler experiences a flight delay, cancellation, or overbooking, they may have rights under EU Regulation 261/2004 on air passenger rights. Any claims or requests for compensation under this regulation must be addressed directly to the relevant airline or transport provider. Travelers should be aware that minor changes to departure or arrival times do not constitute a failure of service by Envaya Travel, nor do they entitle the traveler to compensation or refunds from Envaya Travel. Differences in local infrastructure, accommodation standards, cultural norms, or levels of service that differ from a traveler’s personal expectations are also not considered service failures. Likewise, unforeseen events such as adverse weather, seasonal disruptions, or provider-initiated changes like hotel overbookings or route adjustments fall outside of Envaya Travel’s responsibility. Issues resulting from the traveler’s own actions, such as missed check-ins, expired documents, or disregard for travel guidelines, do not constitute valid grounds for claims. While Envaya Travel provides planning support and guidance throughout the journey, we do not issue refunds or accept liability for third-party service disruptions. For this reason, we strongly advise all travelers to purchase comprehensive travel insurance that includes coverage for delays, cancellations, and unexpected expenses.
9. Dispute resolution
Envaya Travel is committed to resolving any concerns or complaints in a fair and respectful manner. Travelers are encouraged to contact us directly at
envayatravel@gmail.com if any issues arise during the planning or execution of their trip. We will make every reasonable effort to address and resolve the matter quickly.This agreement is governed by and shall be interpreted in accordance with Norwegian law. In the event a dispute cannot be resolved through direct communication, the matter may be brought before the Norwegian courts.For travelers residing in the EU/EEA, the EU Online Dispute Resolution platform may also be used to submit a formal complaint. This platform is particularly relevant for consumers located outside Norway. Complaints can be submitted via the EU ODR portal:
